Secretarial Officer vacancy

The Global Earthquake Model (GEM) is a global collaborative effort that brings together state-of-the-art science, national, regional, and international organisations and individuals aimed at the development of open tools, datasets, and best practice for calculating and communicating earthquake hazard and risk worldwide. The GEM Secretariat assembles and maintains global and regional data, develops and provides the capability to compute, analyse, and communicate global seismic hazard, risk, and socio-economic impact calculations and estimations.


We are looking for a Secretarial Officer to join our international, multi-disciplinary team in our headquarters in Pavia. The ideal candidate will be enthusiastic, flexible and eager to learn. Residence in the Pavia or Milan area is required.


Day-to-day responsibilities include:

  • Every-day secretariat activities (checking GEM Foundation mail, registration/archive and sending of contracts, etc.);

  • Welcoming visitors in person or on the telephone; answering or referring inquiries;

  • Assisting GEM personnel in the organisation of their work travels (flights, accommodation bookings, conference registration etc.);

  • Organising GEM events and workshops worldwide (coordinating with the meeting responsible for budget related issues, contacting and organising accommodation and flights for the meeting participants, etc.);

  • General accountancy registrations, activities and payments.


The successful candidate will have all of the following characteristics:

  • High proficiency in spoken and written English and Italian (interviews will be conducted in English);

  • Verbal and written communication skills;

  • Flexibility and excellent team working skills;

  • Good knowledge and experience of the Microsoft Office package (Excel, Word, Power Point);

  • Excellent organisational and planning skills, meeting deadlines consistently and accurately;


The following skills are considered an advantage:

  • Experience in the organisation of international events

  • A basic understanding of accounting concepts

  • Knowledge of other languages
